2. What Data We Collect
We collect only the data necessary to deliver our services and respond to your enquiries. This may include:
- Contact information — name, business email address, company name, and phone number when you fill in our contact form or book a discovery call.
- Business context — information about your industry, business size, current software stack, and automation pain points, shared voluntarily during discovery calls.
- Website usage data — pages visited, time on site, and referral source, collected via Google Analytics in anonymised form. This data cannot be used to identify you personally.
- Cookie data — see Section 6 below.
We do not collect special categories of personal data (e.g., health, financial data beyond what you voluntarily share), and we do not sell or rent your data to third parties.
3. How We Use Your Data
We use your data for the following purposes only:
- To respond to enquiries and schedule discovery calls.
- To deliver consulting services agreed under contract.
- To send relevant, non-marketing emails to people who have explicitly opted in — such as booking confirmations, proposal documents, and service-related updates.
- To understand aggregate website traffic and improve our site (anonymised analytics only).
4. Legal Basis for Processing (GDPR)
Where we process personal data of EU residents, we rely on the following legal bases under GDPR Article 6:
- Contract performance (Art. 6(1)(b)) — processing necessary to provide the consulting services you have engaged us for.
- Legitimate interests (Art. 6(1)(f)) — responding to enquiries, improving our website, and sending service-related communications. You may object to this at any time.
- Consent (Art. 6(1)(a)) — email marketing, newsletter, and marketing cookies. Consent is asked explicitly and can be withdrawn at any time.
5. Data Retention
We retain personal data for no longer than necessary:
- Enquiry data — retained for 24 months from the last contact, unless a contract is established.
- Client data — retained for the duration of the contract plus 7 years for tax and legal compliance purposes.
- Analytics data — anonymised after 26 months.
6. Cookies
Our website uses cookies to improve functionality and understand aggregate visitor behaviour. We use:
- Essential cookies — required for the website to function (e.g., contact form submission). These cannot be disabled.
- Analytics cookies — Google Analytics and Microsoft Clarity, which collect anonymised, aggregate data about how visitors use the site. You can opt out of these.
- Marketing cookies — LinkedIn Insight Tag for retargeting. You can opt out of these.
You can manage cookie preferences via our cookie consent banner on first visit, or by adjusting your browser settings. Disabling non-essential cookies will not prevent you from using the site's core features.
7. Who We Share Data With
We share your data only with trusted service providers, strictly for the purposes listed above:
- Google Analytics — website analytics (anonymised).
- Microsoft Clarity — session recording and heatmaps (anonymised).
- LinkedIn — LinkedIn Insight Tag for conversion tracking (processed under LinkedIn's Privacy Policy).
- Calendly — if you book a call, Calendly's Privacy Policy applies to the data you provide there.
- ActiveCampaign — if you subscribe to our newsletter, your email is stored and processed under ActiveCampaign's Privacy Policy.
- Our email provider — for transactional and service-related emails.
We do not transfer your data outside the European Economic Area (EEA) except via providers that comply with GDPR (Google, Microsoft, LinkedIn, ActiveCampaign — all have appropriate data transfer mechanisms in place).
8. Your Rights Under GDPR
If you are an EU resident, you have the right to:
- Access — request a copy of all personal data we hold about you.
- Rectification — request correction of inaccurate data.
- Erasure — request deletion of your data ("right to be forgotten"), subject to legal retention requirements.
- Restriction — request that we stop processing your data in certain circumstances.
- Portability — receive your data in a machine-readable format.
- Object — object to processing based on legitimate interests.
- Withdraw consent — at any time, where consent is our legal basis.

9. Data Security
We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss, or misuse. This includes encrypted transmission (TLS/HTTPS), access controls on internal systems, and regular review of third-party service providers' security practices.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. The updated version will be posted on this page with a revised "Effective" date. For significant changes, we will notify existing clients by email.
